Say goodbye to endless stacks of resumes and tiresome manual processes – it’s time to get with the times and embrace recruiting automation!

This exciting technology has the power to revolutionize the way you attract and hire top talent, making the hiring process faster, more efficient, and ultimately more successful for your business.

What’s recruiting automation? Why do you need to automate your recruitment? And how do you automate your recruiting process?

These are just some of the questions we’ll answer as we explore the sea that is recruitment automation and how La Growth Machine can help you take your recruitment process to the next level.

So, buckle up, grab a cup of coffee, and let’s dive into understanding recruitment automation with LGM.

What is recruiting automation?

Recruiting automation is the use of technology to streamline and simplify the recruitment process. This includes everything from posting job ads to sourcing candidates, screening resumes, scheduling interviews, and much more.

However, we have to address the elephant in the room: recruiting automation should never replace human interaction and judgment in the hiring process.

Rather, it’s meant to support and enhance the human elements of recruitment, such as building relationships with candidates and making thoughtful hiring decisions.

Think of it as a means to an end rather than a substitution for the human element of hiring.

That’s why a sales automation tool like our own La Growth Machine can make your life easier and help you make this process efficient.

La Growth Machine is designed to help you generate more leads by email, LinkedIn, and even Twitter, and nurture them into qualified candidates.

It enables you to source relevant candidates, build relationships with them, and engage them with automated recruiting emails and communication.

Later in this post, we’ll go over how you can do this extremely easily in a step-by-step guide.

But no spoilers! Let’s first start by listing the benefits of automated recruitment.

Why do you need to automate your recruitment?

Though we went a bit into the why you need recruitment automation earlier, let’s dive a bit deeper. When you automate your recruiting process, you get the following:

  • Error-free bliss: No more typos in job postings or missed interview appointments – recruiting automation eliminates manual errors and ensures accuracy.
  • Candidate love: Provide a top-notch candidate experience with smooth, efficient communication and scheduling processes – they’ll thank you for it!
  • Better talent acquisition: Use advanced screening and matching algorithms to find the best candidates for your open roles, fast.
  • Increased productivity: With recruiting automation, you and your team can focus on the tasks that truly matter, like building relationships with top talent.
  • Data-driven insights: Make informed hiring decisions with real-time data and analytics on candidate engagement, progress, and more.
  • Scalable success: As your company grows, so does your ability to efficiently hire top talent – recruiting automation can keep up with even the biggest of businesses!

Many of these advantages are really just automation advantages, but they are even more valuable when it comes to improving your recruitment process -something that’s essential in this competitive world.

Ultimately, recruiting automation tools are here to reduce human error when it comes to those pesky, time-intensive tasks. This way, you can focus on the important part of your job: qualifying and interviewing the candidate.

What can you automate in the recruitment process?

There are as many steps in the recruitment process as there are opportunities to automate them.

From job postings and candidate sourcing to screening and scheduling of interviews, each step of the process can be automated to reduce time and effort.

Here’s a list of tasks and processes that can be streamlined:

  • Job postings: Automatically publish and update job postings across multiple platforms with just a few clicks.
  • Candidate sourcing: Use AI-based technology to quickly identify and match high-quality candidates for your open roles.
  • Screening: Automatically screen resumes, cover letters, and other documents with keyword searches, AI algorithms, and more.
  • Candidate data enrichment: Automatically enrich candidate data and profiles with background checks, personal emails, phone numbers, and more.
  • Interview scheduling: Use customized automation tools to handle interview scheduling and confirmations with ease.
  • Communication: Streamline communication between recruiters, candidates, and hiring managers with automated emails, text messages, and more.
  • Reporting: Track important recruitment KPIs in real-time to make data-driven decisions.

Keep in mind that the specific tasks and processes that can be automated will vary depending on the recruiting process and automation solution used.

But most of the features mentioned above are somewhat of a standard when it comes to recruiting automation.

A step-by-step recruiting automation workflow using La Growth Machine + folk:

Having seen a few of the best recruiting automation tools available today, let’s take a look at how you can use automation to sort out your recruitment process.

This way, you will easily amplify your outreach efforts while reducing the amount of manual labor required VS the number of leads (candidates) generated.

First, let’s start by introducing both tools.

La Growth Machine is the apex of multichannel sales software, presenting a seamless and efficient solution for automation. Our ready-to-use templates enable you to craft an automated workflow that’s as unique and creative as it is diverse.

La Growth Machine Multichannel Platform

We have other features available, such as:

  • Automatic lead data enrichment so you can get your lead’s contact information
  • An abundance of variables to craft a personable message
  • Native integrations with HubSpot and Pipedrive
  • Ease of use through drag-and-drop actions

Then, we have Folk: a personal CRM tool, that lets you manage your relations with candidates on one side, and freely discuss your progress with your teammates on the other.

With Folk, you can easily track every point in the candidate’s journey, set reminders on your tasks, and follow up on conversations.

It is the perfect companion to La Growth Machine, allowing you to create an efficient recruitment process from start to finish. Folk provides a wide range of features:

  • Customize and manage your relations according to your own workflow
  • List your relations and change views as you like (tiles, table, etc.)
  • Map your level of qualification for each relation in a single contact form

Step 1: Candidate sourcing:

First and foremost, you need to create a folk account. This is very easy and straightforward; you can sign up using your Google account or another email. No need for a professional email, card verification, or anything else!

You’ll then need to add your contacts so that you can reach out to them and track their progress. Folk allows you to do this in a couple of different ways:

FolkX chrome extension
  • By connecting your Gmail account
  • Uploading a CSV file
  • Using their extension: folkX
  • Plugging into Zapier

Say you don’t already have a list of candidates you want to contact. So we’ll take the case of downloading the Chrome extension, folkX.

Once you’re done downloading FolkX and your account is properly set up, you’ll see a sidebar pop up on every major recruiting website!

In our example, let’s say you’re looking for a new Sales Development Representative to join your team. For the sake of simplicity, we’ll stay on LinkedIn for this use case.

Here’s one example of what it should look like; I used Paris and the greater Île-de-France region to limit my search.

Example sales development representative – Paris

Step 2: Uploading candidate information:

Once you have your search criteria well set up, open the profiles of the candidates that suit your needs. This is where you’ll see the Folk sidebar intervene; you simply tap “Add to folk” and select which workspace and group you want to add your candidate in.

You now have a candidate form with not only all the public information available on their LinkedIn account, such as their:

  • Full Name (as displayed on LinkedIn
  • Job title
  • Company name
  • Summary
  • LinkedIn URL
  • etc.

But I’m also able to see all past and current interactions I’ve had with them, add comments for my team to see their take on, and add reminders for specific trigger events.

Note that for this specific example, I wasn’t able to retrieve the candidate’s personal email or phone number. These are 2 crucial pieces of information in a recruiter’s job, and that’s where La Growth Machine comes in, but we’ll get there in a bit. 😉

Lastly, after you’ve recreated these simple steps for all your potential candidates and organized them to your liking, simply export your list to a CSV file.

You now have a file with all your candidates that you can integrate into La Growth Machine!

Step 3: Enriching and starting your campaign with La Growth Machine:

Let’s continue with the process! Now is the time to add those missing data points to your candidate profile.

For this, obviously, you need to create a La Growth Machine account! Lucky for you, we offer a 14-day free trial along with an onboarding process. This way, you get a feel for our tool and you get to play with its different features.

Try for free

Now that that is done, all you need to do is import the same CSV file that you downloaded in the last step!

It’s very easy, you simply go to your “Leads” tab and tap “Import Leads”:

You’ll then be faced with an intuitive interface where you can match the lead information to their respective columns. You can also add columns and match them with the extra information that you might have added in the Folk interface.

For instance, if you added an “Icebreaker” section in Folk, you’ll be able to add it in showthMachine as well as a “CustomAttribute”. This is relevant when you want further personalize your messages and make them more “human”.

You now have a brand new audience with its list of leads and their information, congrats! Now, it’s time to start your outreach campaign.

It’s extremely easy, all you need to do is:

  • Go to the “Campaign” tab and click “Create new campaign”
  • From there, you need to choose either to create a full campaign from scratch with our easy drag-and-drop system.

  • Choose one of our countless multichannel (Email – LinkedIn – Twitter) templates based on your needs -in this case recruiting.
  • I would recommend you start with the templates, they’re created with care and more importantly, by outreach experts so they’re tested and are known to work!

In my case, I chose to go with a LinkedIn + Email campaign. I figure I want to source candidates from LinkedIn and thanks to La Growth Machine, I can reach them by email, if need be, to sound more professional.

The biggest advantage of La Growth Machine is really its multichannel approach; through it, you know that if the candidate didn’t answer on LinkedIn, you’ll try to reach them by email. And if that still didn’t work, you can try an add Twitter to the mix!

Step 4: Creating great copy:

I won’t go too much into detail in this section since it depends on so many factors and will take me a lot more than one article to cover the topic.

But the key takeaway here is that your copy should be crafted with care.

Your copywriting, be it email copywriting or otherwise, should reflect your company’s values and mission. It should be both professional and friendly at the same time.

It should also be personalized to make the candidate feel at home, just like the “Icebreaker” portion I added in the previous steps.

Try to keep it short and sweet while at the same time providing enough information for them to understand why they should get back to you.

Step 5: Following up with candidates:

Hopefully, by now you’ve started to receive some answers from your outreach campaigns.

It’s now time to follow up with the candidates using La Growth Machine and make sure they stay interested in the role.

So far we’ve mentioned the two tools, but not how to use both of them together. Here enter the Zapier integrations we’ve been boasting about throughout this article!

La Growth Machine integrations

Once all the previous steps have been completed, you will now be able to connect La Growth Machine to Folk via Zapier. This will allow you to automatically update the lead status as they move through the recruiting process.

Here are some examples to get your creative juices flowing:

  1. If a candidate accepts you as a LinkedIn connection, then change the Folk status to “In Connection”: Try this Zapier Template
  2. Responds to you on LinkedIn, then change the Folk status to “Has Responded”: Try this Zapier Template
  3. Responds to you by email, then change the Folk status to “Answered”: Try this Zapier Template

This makes it so that every time a candidate interacts with you, their status is automatically updated in Folk.

This makes it much easier for your team to keep track of the progress of your recruitment process since you can easily see who has responded, who is still in the pipeline, and who has moved on to the next stage.

And with that, you’ve achieved your goal! Congratulations on setting up your first successful multichannel recruiting campaign and leveraging the power of La Growth Machine and Folk to take your recruitment process to the next level!
